VIAJIS · FOR TRAVEL AGENCIES
Launching December 2026

From request to proposal, without losing time or context.

Viajis puts your clients' requests, your proposals and what's still to do on every trip in one place. Vika handles the repetitive work, and your team always makes the call.

Built around three things

Security

Passports, contact details and private conversations pass through an agency every day. Viajis was designed to look after them.

  • Secure sign-in through a dedicated identity service
  • Every agency in its own space, separate from the others
  • Retention periods, deletion and export of personal data
  • Application and database hosted in the European Union

AI that helps without deciding for you

The AI reads, organizes and suggests. Anything that costs money or commits a supplier waits until your team approves it.

  • Reads pasted text, screenshots, audio, PDF, Word, Excel and email
  • Every suggestion shows where it came from and can be undone
  • Sensitive actions wait for your approval and are logged

Easy to start with

Made for teams of two or three people with no IT department. It runs in the browser, so there is nothing to install.

  • A quick tour on the main screens and short guides in the Help Center
  • Each traveler's details are typed once and flow to every service
  • Proposals designed inside Viajis, no Word or Excel
In the agency's day-to-day
01

Requests organized on arrival

Paste the WhatsApp conversation, the email or the client's PDF and Viajis structures the destination, dates, budget and travelers. Every source is kept with its extracted text, so you can check it in seconds.

02

Vika, the assistant that does the repetitive work

Ask Vika to create a request, fill in missing details or update a proposal. Whatever is safe and reversible, she does straight away. Anything that costs money or commits a supplier waits for your approval, and it is all logged.

03

One profile, the whole trip

Type each traveler's details once: name, documents, preferences. They carry over to the flight, the hotel, the insurance, the transfers and every other service, with no copying and nothing forgotten.

04

Proposals that look the part

Design the proposal in Proposal Studio and send the client a link. They can view it, comment, ask for changes and accept online. Save the layout as a template and reuse it on the next trip.

05

Every client on a single record

ID details, documents, travel history and preferences live on the client's record, not in the head of whoever took the call. Proposals move across a Kanban board and, when the client accepts, the Trip is created with its tasks ready.

THE AGENCY AT A GLANCE

See all the work without opening ten windows.

From client to trip, from deadlines to searches: what usually sits scattered across spreadsheets and inboxes is in one place.

Working today

Viajis360: the client and everything around them

Pick a client and see their requests, proposals and trips linked together on a relationship map where you can zoom, drag and open every card. There is also a stacked view for when you want to read calmly. Changes save themselves, with no save button.

Proposal timeline

Each proposal on its own line, with the dates that matter: validity, follow-up, flights, payments and the trip itself. View by quarter, month or week and filter down to what needs attention. The dates come from the Calendar.

The agency calendar

Day, week, month, agenda and a trip timeline. Create events, tasks, meetings and reminders and drag to reschedule. Proposal deadlines, flights, trips and payments can appear on their own, depending on what the agency switches on.

It does not sync with Google or Outlook yet.

In acceptance testing

Online search for flights, accommodation and activities

Search the suppliers the agency connects and take what you choose into the proposal. The price is confirmed before it goes in. For now it does not book: it prepares the option for your team to decide.

It is in acceptance testing. Availability depends on the suppliers each agency connects.

How it works
01

The request arrives

By WhatsApp, email, phone or form. You log it in Viajis exactly as it came in.

02

Vika organizes it

Destination, dates, budget and travelers get structured. All that's left is to confirm.

03

The proposal takes shape

Build the trip, design the proposal in Proposal Studio and send it to the client.

04

The deal moves forward

Follow each proposal on the Kanban board until it's accepted. Once it is, the Trip is created with its tasks.

SECURITY AND PRIVACY

Your clients' data is not a detail.

An agency holds ID documents, contact details and private conversations. That's why privacy sits in everyday settings instead of being left for later.

Real Viajis screen (test environment): retention periods set by the agency.
Retention periods the agency sets
Choose how long conversations linked to a request, spam and triage decisions are kept. After that, they are deleted automatically every day.
Export and delete on request
When a data subject asks to see or erase their data, the agency can do both from inside Viajis.
Hosted in the European Union
The application and the database run in Amsterdam.
AI on a short leash
Actions that cost money or commit a supplier wait for a person to approve them, and the log records who decided.

The starting retention periods can be adjusted by each agency to match its own legal obligations.

VIAJIS MEDIA LIBRARY

Every file passes through a privacy gateway before it's ever read.

Underneath every request, attachment or proposal, Viajis runs on the same data-protection infrastructure that already processes invoices in production for InvoiceManager.AI.

Automatic sensitive-data detection

Names, addresses, tax IDs, IBANs, booking references: two detection engines scan every file before its content becomes available — nothing to configure.

Nothing is accessible without approval

A file only becomes available after it passes analysis. If any step fails, access stays blocked by default — never the other way around.

Automatic visual content moderation

Images are screened before they ever enter the system, with no manual step.

Full isolation between agencies

One agency's data is never visible to another — enforced at several layers, not just by configuration.

Semantic search, ready to switch on

The same infrastructure already supports finding documents by content, in plain language, not just by filename — built and tested, on its way into the Viajis interface.

For integrators — how attachments stay protected
Field-by-field tokenization
Names, addresses, tax IDs, IBANs: each sensitive value detected is encrypted individually with AES-256-GCM — never a single cipher for the whole document.
The policy decides what's reversible
Data with no business need to reappear — email, IBAN, a person's name — is removed at the source, never tokenized. No key brings it back.
The same engine already supports controlled re-identification
In InvoiceManager.AI, the same infrastructure already resolves tokenized fields (tax ID, booking reference) under a dedicated permission and its own audit trail — in production, not a roadmap promise.
Auditing without exposure
Every detection is logged — data type, policy applied, outcome — never the value itself.

Viajis Media Library is Travel4Tech's shared privacy and file infrastructure, used by both Viajis and InvoiceManager.AI.

WHERE WE ARE

Launching in December 2026.

Viajis is being prepared for launch. Here is, plainly, what you can use today and what is still on the way.

Working today

  • Requests, with reading of text, screenshots, audio and documents
  • Vika, with human approval on sensitive actions
  • Proposals, Proposal Studio and the client portal
  • Viajis360, the Calendar and the proposal timeline
  • A Trip created when the client accepts
  • Inbox for email (Microsoft 365, Gmail and IMAP) and for the client portal
  • Retention, deletion and export of communications data

Being validated

  • Importing participants from Excel or CSV
  • Pricing Studio and Revenue Center, for margins and costs per proposal
  • Flight and service times in the local time zone
  • Online search for flights, accommodation and activities, in acceptance testing

On the way

  • WhatsApp and SMS in the inbox
  • Connection to agency management systems, under study

What Viajis does not do

Viajis handles the inbox, requests and proposals. Invoicing, travel-agency VAT and tax filings stay in the system your agency already uses.

The application is in European Portuguese. The client portal speaks Portuguese, English, Spanish, French and German.

Dates and scope may change before launch.
