How InvoiceManager.AI works

It doesn't replace your booking system. It finishes what your booking system starts.

Every day, bookings move through your agency faster than anyone can manually track. InvoiceManager.AI catches what's still open, matches it against the invoice, and shows you exactly what's costing you money — without adding another system to learn.

01

Nothing gets missed on day one.

Every day, InvoiceManager.AI checks your booking system and flags anything new the moment it appears — so a booking never just sits there, forgotten, until someone stumbles on it during month-end close.

02

It never closes the books without you.

AI can read a supplier invoice and suggest a match — but no reconciliation is ever marked complete without a person confirming it. That's not a setting you can turn off. It's how the system is built.

03

Always know why, not just what.

No blank "pending" lists. Every open item shows the real reason it's still open — waiting on a supplier's invoice, a value that doesn't match, a document that needs a closer look — so you always know where things stand right now, and what to do next.

04

It chases the paperwork, not you.

When a supplier hasn't sent their invoice yet, InvoiceManager.AI sends the request for you — so getting the right document isn't one more thing on your to-do list.

VIAJIS MEDIA LIBRARY

Reconciles invoices without exposing more data than it needs to.

InvoiceManager.AI runs on the same privacy infrastructure that protects every Viajis file — here already in production, not a promise.

Controlled re-identification, field by field

To match a supplier invoice to the right booking, only the tax ID, booking reference or invoice date is revealed — never names, emails or IBANs. Already in production.

Nothing is accessible without approval

A file only becomes available after it passes analysis. If any step fails, access stays blocked by default — never the other way around.

Automatic visual content moderation

Images are screened before they ever enter the system, with no manual step.

Full isolation between agencies

One agency's data is never visible to another — enforced at several layers, not just by configuration.

Semantic search, ready to switch on

The same infrastructure already supports finding documents by content, in plain language, not just by filename — built and tested, on its way into the interface.

For integrators — pseudonymization under the hood
Field-level tokenization, not document-level
Every tax ID, booking reference or PNR is individually encrypted with AES-256-GCM and swapped for a token in the text that leaves the system. The original value never leaves the database — only the token does.
Two permissions, two moments
Reading the sanitized content and requesting re-identification of a field are separate authorizations, managed independently — never the same call.
What's never tokenized never comes back
Email, IBAN and a person's name are removed at the source — there's no cipher to decrypt, because there was never a token. Re-identification can never bring back what the policy never kept.
Every re-identification request is logged
Who asked, how many fields, what outcome — in an audit trail that never stores the revealed value. Already in production.

Viajis Media Library is Travel4Tech's shared privacy and file infrastructure, used by both InvoiceManager.AI and Viajis.
